Job Description

Position Summary

The Office and Events Coordinator will play a crucial role in ensuring a premium experience for visits, customers and employees. This role helps ensure smooth operation of our office for guests in addition to planning and executing corporate events. This role will also provide administrative support to Zinpro’s corporate headquarters and its Senior Leaders. This role requires excellent organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously.

Essential Functions

Office Assistance:

  • Greeting and welcome guests with a friendly and professional demeanor, ensuring they feel comfortable and valued
  • Handle incoming and outgoing correspondence, including emails, phone calls, and mail.
  • Assist with general administrative tasks such as filing, data entry, and document preparation.

Meeting Room Management:

  • Schedule and coordinate the use of meeting rooms, ensuring availability and proper setup for meetings and events.
  • Maintain cleanliness and organization of meeting spaces, including stocking/restocking meeting room supplies, arranging furniture and equipment as needed.

Corporate Event Planning:

  • Plan and coordinate corporate events, meetings, and conferences, including venue selection, catering, and logistics.
  • Develop event timelines, budgets, and detailed plans to ensure successful execution.
  • Liaise with vendors, suppliers, and stakeholders to ensure all event requirements are met.
  • Manage event registration, attendee communication, and post-event follow-up.

Administrative Support:

  • Provide administrative support to a senior leader at Zinpro’s corporate headquarters.
  • Assist seniors in meeting and travel coordination.
  • Support leaders with expense reports.

Qualifications

Minimum Required:

  • 3-5 years experience in office administration, event planning, and executive support.
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently and as part of a team.
  • High level of professionalism and discretion.

Work Environment and Physical Requirements

The work environment characteristics are those consistent with a standard office environment.

Positions in this class typically require typing, talking, hearing, seeing and repetitive motions.

Sedentary Work: Exerting up to 20 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally, and all other sedentary criteria are met.

Schedule Requirements

This position is expected to work within core business hours and occasionally requires participation in after-hours work with domestic and international stakeholders.

Travel Requirements

No travel expectations.

Wage Range: $22.00 - $29.00 per hour

The hourly wage listed above is a range. The offered rate complies with federal and local regulations and may vary based on factors such as experience, certification/education, market conditions, and location. Compensation and benefits information pertains solely to candidates hired within the United States (local market compensation and benefits will apply for others). In addition to the wage, this position is eligible for a bonus, providing the opportunity to earn additional compensation.
