Job Description

Primary Purpose


Facilitate the efficient operation of the athletics and physical education K-12 program by providing clerical support to the Director of Athletics and Coordinator of Health/Physical Education/Assistant Director of Athletics. Actively engage in actions that contribute to the overall mission and strategic plan of Clear Creek ISD.

Qualifications


Education/Certification/Licensure

  • High school diploma or GED

Special Knowledge/Skills

  • Effective communication and interpersonal skills
  • Proficient computer, word processing, and file maintenance skills
  • Strong organizational skills
  • Knowledge of general office equipment
  • Basic math skills
  • Interpretive and reasoning skills
  • Ability to maintain confidentiality; multi task and work with little or no supervision

Experience

  • Minimum of 3 years secretarial and bookkeeping experience, preferably in a public education environment

Major Responsibilities and Duties

  1. Perform the routine work activities and practices associated with a productive office, including but not limited to exercising good telephone etiquette, taking reliable messages, typing correspondence and reports, sending and retrieving email messages and facsimiles, maintaining and retrieving information files, preparing mail for review and distribution.
  2. Maintain calendar, including scheduling needed appointments and meetings.
  3. Interface with the community in person and by phone in a positive and informed manner regarding issues that affect students, staff, and community.
  4. Assist with special departmental events, including but not limited to play-off games and district tournaments.
  5. Process/reconcile all purchase orders, invoices, entry fees, officials' payments, cheerleader judge's payments and coaches scouting payments submitted by campus athletics; verify budget limitations, bid requirements and contract requirements.
  6. Maintain expenditures of the athletic budget, security budget, and staff development budget.
  7. Perform routine budget tasks, including budget preparation and maintenance, deposits, process reimbursements, entry/registration fees and travel costs.
  8. Process incoming mail in a timely manner to ensure proper handling of time sensitive items such as travel requests, invoices, pay sheets, and budget requests.
  9. Respond appropriately to routine inquiries and requests from athletic and physical education staff.
  10. Enter bus requests for athletic events when coaches cannot meet the 14-day required time line; approve requests for athletic events and verify accuracy of transportation costs for all travel.
  11. Receive and process travel requests and reimbursement and mileage forms for the athletic and P.E. staff including competitions, conferences, and post district advancement.
  12. Order and maintain inventory of office supplies; monitor maintenance of office equipment.
  13. Verify gate receipts and deposits against ticket sales from all athletic events.
  14. Responsible for insuring that all game officials and workers are paid according to UIL and district guidelines.
  15. Make TEA and UIL policy statements to teachers, coaches, parents, and community.
  16. Prepare workshop materials.
  17. Prepare financial statement for play-off games hosted by the district.
  18. Disseminate all necessary materials to high school and intermediate coordinators, coaches, principals, and staff.
  19. Post weekly athletic schedule of events for high school and intermediate on the district website and prepare a weekly calendar for administration.
  20. Attend and maintain minutes of meetings held by AD for high school and intermediate coordinators, trainers, coaches and cheerleader sponsors.
  21. Maintain district files on PE waivers.
  22. Ensure confidentiality at all times.
  23. Stay informed of and comply with all federal, state, and district policies and regulations concerning primary job functions.

  37. Perform other duties and accept other responsibilities as assigned.
